Work orders
Find work orders on your phone as a list, board, or agenda, schedule work blocks, edit line items, and create work orders in the field.
The Work Orders tab is the dashboard's Work Orders page on your phone. It lists every work order you can see in JobNimbus, and remembers your filters, sort, and layout on this phone.
Find a work order
Type in Search number, job, status, rep…. Every word has to match the work order's number, status, type, sales rep, creator, or related job or contact.
- Mine shows work orders where you're an assignee.
- Filters opens Filter work orders:
- Assigned: Assigned to me, or pick people under Assigned to.
- Status and type: Status, Record type, and Sales rep.
- Date: a Date field (Start date, End date, Created, Updated, or Status change) and a Range.
- Roles: the people named on role fields, such as a crew leader.
- Custom fields: tap Add custom field filter. These are checked on JobNimbus, so they need a connection.
- Each filter you set shows as a chip with a ×. Tap it to remove that filter.
The sort button sorts by Recently updated (the default), Newest, Start date, soonest, Start date, latest, Number, highest, Total price, Status, or Status changed.
Saved lists. The bookmarks icon at the top opens the team's work-order saved lists. Tap a list to see the work orders in it. Saving a new work-order list is done in the dashboard.
Switch between list, board, and agenda
Pick List, Board, or Agenda at the top.
- Board has one column per status, in pipeline order, with each column's count and total price. Swipe sideways to move between columns. Turn on Empty statuses to show columns with nothing in them.
- Agenda lists each day's work blocks. Pick Day, Week, or 2 weeks, step with Previous and Next, tap the dates to jump to a day, or tap Today. Work that runs several days shows on each day. Work with set hours over several days shows those hours on each day, such as "Day 2 of 2 · 7:30 AM – 6:30 PM". Days with nothing on them say "Nothing scheduled".
Quick actions. Long-press a work order in any layout, or tap ⋯ on a board card, for Open work order, Open job, and Move to each other status. A move is saved to JobNimbus.
Open a work order
Tap a work order. The top shows its type, title, job, address, and status, plus Archived or Inactive when they apply. The quick actions are Call, Directions, CompanyCam, and Copy link, each only when it applies. The first three show as buttons. More holds the rest, plus Share internal link…, Open job, Open in CRM (opens the work order in JobNimbus), and Delete work order.
When you opened it from a list, the up and down arrows at the top step through that list.
- Share sends a public, read-only link. See Share a work order or file.
- Copy link and Share internal link… send a link that opens the work order for teammates who sign in.
- Financials shows Price, Cost, and Margin, and the job's Job approved estimates, Job invoiced, and Job amount due.
- Related links to the Job and Contact, with the Contact email and Phone.
- Customer photos asks the customer for photos. See Ask the customer for photos.
- Then the work order's Tasks, Photos & files, the job's Estimates and Invoices, and the activity. See Log a note or a call.
Edit a work order
Tap a row to change it. Every change is saved to JobNimbus.
- Details: Status, Record type (each record type has its own statuses, so you pick a status in the new one), Sales rep, and Location.
- Notes: the Internal note (only your team sees it) and the Customer note (the customer can see it).
- Custom fields: tap a field to edit it, or tap Show all fields to fill in an empty one.
Line items. Tap Edit items to change them, then Save. See Edit line items.
Schedule work blocks
A work block is a stretch of time the crew is on site. Blocks are what the dashboard calendar and the Agenda show, the same as work blocks in the dashboard. Blocks are saved in roofingBoss only. After each change, the work order's start and end in JobNimbus are updated to run from the first block to the last.
Add a block:
- Under Schedule, tap Add work.
- Turn All day on for whole days and pick the Start date and End date (leave the end empty for one day), or turn it off and set Starts and Ends.
- Add a Note if you like, such as the crew.
- Tap Save.
Tap the pencil on a block to change it, or the trash can to delete it. Deleting the only block unschedules the work order.
Until the first block is saved, Schedule shows the JobNimbus dates as one block, marked "from the work order's dates", and Details has a Schedule row for those dates. Once blocks are saved, that row says "set by the work blocks below".
- The work order's dates differ from this schedule means JobNimbus has different dates, for example after someone changed them there. Tap Update dates to save the range from the blocks to JobNimbus.
- Reset to the work order's dates removes the blocks and goes back to the JobNimbus start and end as one block. Tap Reset to confirm.
Create a work order
- On Work Orders, tap +. Pick Work order, a type such as Warranty work order, or Work order templates to manage templates.
- Choose whether it belongs to an Existing job or an Existing contact, and pick the Job or Contact.
- Pick the Type if it isn't filled in.
- If the form asks for it, tap Line item and pick a product.
- Describe the problem under What's going on.
- Add photos if you like. They attach to the work order and its job or contact.
- Tap Create work order.
JobNimbus needs at least one line item, and every line item on a work order must be a catalog product. A quick work order gets the product named after its type, at its catalog price, with your note as its description. When there isn't one, for example for Side Quests, it uses the All Purpose Work Order product from the job's or contact's location. Only when the catalog has neither do you pick a product under Line item.
For the full form, tap Add schedule, team, and pricing. It adds Start from a template…, Details (status, sales rep, location), Team (role fields, subcontractors included), Schedule, Line items, and the Customer note.
When it's created, you can copy a photo link for the customer right away, then tap Open work order or Done. From a job or contact, New work order fills in the job or contact for you.
Delete a work order
- Open the work order and tap More.
- Tap Delete work order, then Delete.
The work order is removed from JobNimbus. It can be restored in JobNimbus under Insights › Classic Reports.
