Work orders

Find, filter, and bulk-update work orders in a table, a kanban board, or a calendar.

Work orders are the visits your crews go out on, such as a warranty call, a repair, or a roof replacement. Each one usually belongs to a job. Open them from Sidebar → Operations → Work Orders.

Work orders, their statuses, and their dates are saved to JobNimbus. Work blocks, templates, share links, and photo links are saved in roofingBoss only.

Pick a view

Use the Table, Kanban, and Calendar switch at the top of the page. On a phone the switch shows icons only. The view you pick is part of the page link, so a copied link or a saved list opens the same view.

Click any row, card, or calendar block to open the work order's details.

Table

The table starts with Number, Record Type, Status, Related Job, Contact, Created By, Start Date, Total Price, and Created. Open Columns to add others, such as End Date, Total Cost, Internal Note, Customer Note, or any work order custom field. Sort, reorder columns, and change the page size the same way as on other lists. See Lists and filters.

Kanban

The board has one column per status, in the order your workflows use. Each card shows the work order number, the related job, the type, who created it, the start date, and the total price.

  • Drag a card to another column to change its status. The change is saved to JobNimbus.
  • Filter by status to show only those columns.
  • A work order can only move to a status its own type has. If a move fails, the card goes back. Filter to one type so every column is a status you can use.
  • Click Full screen for a wall-display view. Press Esc to close it.

The board loads up to 2,000 work orders. If more match, a note under the board asks you to narrow your filters.

Calendar

The calendar shows scheduled work orders by month, week, day, or as a list you can print. See Calendar view.

Filter work orders

The filters apply to all three views. On a phone, tap Filters to open them in a panel.

FilterShows work orders where
All Statusesthe status is one you picked
All Typesthe type (record type) is one you picked. A name with commas, such as "Gutter, Soffit, Fascia", is one type.
All Sales Repsthe sales rep is one you picked
All Assigned Toone of the people assigned to the work order in JobNimbus is someone you picked
Date filterCreated Date, Updated, Start Date, End Date, or Status Change falls in a range
Custom fieldany other work order custom field matches a condition

To filter by a custom field, click Custom field, search for the field, then pick a condition and a value. Filters you set appear as chips under Active filters:. Click a chip's × to remove it, or click Clear All Filters. Click a custom-field chip to change its condition.

Filter by crew role

The filter bar has a button for each people field on your work orders: All Project Consultants, All Project Managers, All QC Reviewers, All Crew Leaders, and All Repair Techs. A button only appears when your account has that field.

  1. Click the button, for example All Crew Leaders.
  2. Search for and tick one or more people.

The list shows work orders where that field contains any of the people you ticked. Click the × on the button, or Clear in the picker, to remove the filter. Combine this with the calendar to see one person's week.

Update many work orders at once

Bulk updates work in the Table view. See bulk edits for how selection works.

  1. Tick the work orders you want to change. The header checkbox selects every row on the page.
  2. Click Bulk Update in the bar at the bottom of the screen.
  3. Pick one option:
    • Update Status lists only the statuses that every selected type shares. If the types have none in common, update them in smaller groups.
    • Update Record Type / Workflow + Status moves the work orders to another type. You have to pick a status from that type too.
  4. Click the Update button. It shows how many work orders will change, for example Update 12 Work Orders.

The changes are saved to JobNimbus. If some work orders fail, a message tells you how many and why. Moving work orders to a status that JobNimbus marks as archived also archives them.

Use templates

Click Templates at the top of the page to manage work order templates. You apply one when you create a work order. See Templates.
