Scheduling
Set work order dates and times, drag work on the calendar, and split a work order into separate visits with work blocks.
A work order's schedule is the time the crew is on site. You can set it three ways: in the work order's Schedule row, by dragging on the calendar, or on the Schedule tab, where you can split one work order into several visits.
Set dates and times
You set dates when you create a work order, or later from the Schedule row in the work order's details.
- With All day event ticked, pick a Start Date and an End Date. Leave one blank to schedule a single day.
- Untick All day event to set hours. Start and End each get a date and a time. The times start at 8:00 AM and 5:00 PM, and the time list moves in 15-minute steps. A blank End date takes the start date, so the work runs 8:00 AM to 5:00 PM that day until you change it.
- Set hours over several days repeat on each day. A start of Thursday 7:30 AM and an end of Friday 6:30 PM means 7:30 AM to 6:30 PM on Thursday and on Friday, and the calendar shows it that way. If the end time is earlier than the start time, such as 6:00 PM to 6:00 AM the next morning, the work runs straight through the night instead.
- If you pick a start date after the end date, the end date moves to the start date.
Dates and times are saved to JobNimbus.
Clear dates
In the Schedule row or the create form, click the × next to a date, or open the date and click Clear date. Clearing a date clears its time too. In the Schedule row, click the green check to save.
Clear both dates to take the work order off the calendar. If the work order has work blocks, delete them on the Schedule tab instead.
Drag and resize on the calendar
Every change you make on the calendar is saved to JobNimbus right away.
- Move a work order with set hours: drag it to another day or time. In Week or Day view, drag its bottom edge to change when it ends. When the hours repeat over several days, all the days move together: drag any day to move them all, or drag its bottom edge to change when every day ends.
- Move an all-day work order: drag it to another day without changing its hours. On a multi-day work order, drag the first or last day. The whole range moves and stays all-day.
- Finish on a half day: drag or resize the last day so it ends earlier, for example at noon. The last day becomes its own work block with set hours that end at the new time, and the days before it stay all-day. Another work order can then start that afternoon.
- Start later on the first day: drag the first day to a later time. The first day becomes its own work block from that time until the end of your business hours, and the days after it stay all-day.
- One-day all-day work order: drag or resize it to the hours you want. It switches to those hours.
You can't drag or resize a middle day of a multi-day work order. The block snaps back and Can't reschedule a middle day explains your options. Click Got it to close it. To skip a day in the middle, split the work order into work blocks.
Split a work order into work blocks
Use work blocks when a crew comes back on separate days, for example Monday and Tuesday, then again the next Thursday. You keep one work order instead of copying it, and the calendar only paints the days the crew is there.
- Open the work order and go to the Schedule tab. Its current dates show as one block marked (from JobNimbus dates).
- Click Add work.
- Set the dates and times. New work starts as today, 8:00 AM to 5:00 PM. Pick a later End date to book the same hours on each day in between. Tick All day event to book whole days instead. Add a Note (optional) if it helps, such as the crew or the scope for that visit.
- Click Save.
A block with set hours over several days reads like "Thu, Oct 15 – Fri, Oct 16, 7:30 AM – 6:30 PM each day · 2 days". Click the pencil on a block to change it, or the trash can to delete it. Blocks can't overlap, one block can't run longer than 120 days, and a block with set hours needs an end date.
The work order's status in JobNimbus says whether more work is still to come. While it's open, for example "Work in Progress", add the next block once you know when the crew goes back.
Work blocks are saved in roofingBoss only. Once a work order has them, its Schedule row reads Managed on the Schedule tab, and dragging on the calendar moves one block at a time.
What JobNimbus sees
After every change, roofingBoss saves the start of the first block and the end of the last block as the work order's dates in JobNimbus. JobNimbus and its mobile app show that one range. They don't see the gaps between blocks.
If you delete every block, the work order's dates are cleared in JobNimbus too and it leaves the calendar.
When JobNimbus dates differ
If someone changes the dates in JobNimbus, the Schedule tab shows JobNimbus dates differ from this schedule with both ranges. Pick one:
- Click Update JobNimbus to save the range from your blocks to JobNimbus.
- Click Reset to JobNimbus dates at the bottom of the tab to delete the blocks and go back to the JobNimbus dates as a single block. This button is there whenever a work order has blocks.
Reset to JobNimbus dates deletes every work block on the work order, notes included. You can't undo it.
