Invoices and payments

Create and review JobNimbus invoices, see payment totals at a glance, and record a new payment.

The Invoices and Payments pages list the JobNimbus invoices and payments you can see. Open them from Sidebar → Financials → Invoices and Sidebar → Financials → Payments. Creating an invoice or recording a payment saves it to JobNimbus.

Find invoices

  1. Open Sidebar → Financials → Invoices.
  2. Narrow the list:
    • Status: Draft, Sent, Open, Closed, Cancelled, Void. Pick several, or Select All.
    • Sales Rep: one or more active users.
    • Filter by date: Created Date, Updated, Invoice Date, Due Date, Sent Date, Status Change, or Paid In Full Date. See Lists and filters.
  3. Optional: type in Search invoices... and press Enter.

Invoice search only looks through the invoices on the page you're viewing. It matches the number, sales rep, status, related job, and internal note. Filter first, or show 100 per page, to search more at once.

Active filters show as chips. Click × on a chip to remove it, or Clear all. Click a column header with arrows to sort.

Choose invoice columns

Click Columns:

  • Check or uncheck single columns.
  • Select All shows every column. Uncheck it to go back to the default set.
  • Reset to default restores the default set.

By default you see Number, Related Job, Sales Rep, Status, Total, Balance Due, and Created. You can add Total Paid, Subtotal, Tax, Invoice Date, Due Date, Created By, and Internal Note.

Filters, sort, and columns are part of the page address, so a bookmarked link opens the same view.

Create an invoice

  1. On the Invoices page, click Create New Invoice (New on a phone).
  2. Optional: under Templates, choose Start from a template… to fill in line items, sections, and the internal note. Invoices use your estimate templates. See Templates.
  3. Under Related Job *, click Search for a job... and pick the job.
  4. Set Status. New invoices start as Draft.
  5. Optional: choose a Sales Rep and a Location.
  6. Check the Invoice Date. It starts as today.
  7. Optional: pick Terms (Due on receipt, Net 15, Net 30, Net 45, or Net 60). The Due Date fills in from the invoice date. You can also type a due date instead; if it doesn't match a preset, Terms shows Custom.
  8. Add line items from your product catalog, and optional Sections. They work the same as on an estimate; see Add line items.
  9. Optional: add an Internal Note. Only your team sees it.
  10. Click Create Invoice.

A message confirms the new invoice number, and the invoice is saved to JobNimbus on the job you picked. Create Invoice stays grayed out until you've picked a job and added at least one line item.

To bill an estimate, open the estimate and click Create invoice instead. The job and line items are copied in for you. See Edit or convert an estimate.

Open an invoice

Open an invoice from its job: open the job, then the Inv tab, and click the invoice. See Jobs. Rows on the Invoices page don't open.

The invoice panel shows the total and balance due, plus:

  • Financial Summary: Total, Balance Due, Total Paid, Subtotal, Tax, and Cost when there is one.
  • Invoice Details: sales rep, creator, and the invoice, due, sent, paid-in-full, created, and updated dates.
  • Related Records and Notes (Customer Note, Internal Note, Description).
  • Tabs for Overview, Payments (each payment applied, with amount, method, reference, and date), and Activity.

Click Invoice #… in the header to open it in JobNimbus. The panel is read-only.

Review payments

Open Sidebar → Financials → Payments. The stats cards at the top cover every payment that matches your filters, not just the current page:

CardWhat it shows
Total AmountSum of the matching payments.
Number of PaymentsHow many payments match.
Average PaymentTotal amount ÷ number of payments.
Payments by TypeThe three most common payment methods, with counts.

Very large amounts are shortened (for example $2.67M), with the exact figure underneath.

To save space, click the arrow at the top right of the cards (Hide stats) or press Ctrl + . (⌘ + . on a Mac). The cards shrink to one line: total, payments, average, and top method. Click that line, or press the shortcut again, to bring the cards back. roofingBoss remembers your choice next time.

Filter payments

  • Filter by date: Payment Date, Created Date, or Updated Date.
  • Sales Rep: pick one or more reps, or Select All. Archived users aren't in the list.

Active filters show as chips under the toolbar. Click × on a chip to remove it.

Choose payment columns

The Columns button shows how many columns are visible, such as 9/10. Check the ones you want, or use All and Hide All. Hide All leaves only Amount, since at least one column has to stay.

Columns are Amount, Customer, Job, Invoice, Payment Method, Reference, Sales Rep, Payment Date, Created, and JNID (the JobNimbus ID, hidden by default).

Record a payment

  1. On the Payments page, click Record New Payment.
  2. Enter the Amount *.
  3. Choose the Payment Method *: Other, Cash, Credit Card, Check, ACH/Bank Transfer, Finance, or Money Order.
  4. Check the Payment Date *. It starts as today.
  5. Optional: enter a Reference #, such as a check number or transaction ID.
  6. Under Job, click Search jobs... and pick the job. The Customer / Contact fills in from the job when it can.
  7. Optional: under Invoice, pick the invoice this payment applies to. Once a job is picked, only that job's invoices are listed.
  8. Click Record Payment.

You see "Payment recorded successfully", and the payment is saved to JobNimbus. You're recorded as the payment's sales rep.

The Job and Customer / Contact lists hold the 200 most recently updated jobs and contacts, and Invoice holds the 100 newest invoices. For an older record, record the payment in JobNimbus.

Open a payment

Like invoices, payments open from their job: open the job, then the Pay tab, and click the payment. The panel shows the amount, credit, method, Payment Details (reference, dates, creator, sales rep, and transaction or refund IDs), Related Records, and Applied to Invoices. Badges mark payments that were Refunded, had a Chargeback, or are Archived.
