roofingBoss Docs

Files

Find, upload, and open photos, PDFs, and documents stored in JobNimbus, and send anyone a link to view or download a file.

The Files page lists the photos, measurement reports, permits, and other attachments stored in JobNimbus. Open it from Sidebar → Records → Files. Jobs, contacts, and work orders also have a Files tab that lists just that record's files.

Find a file

  1. Type in Search files... and press Enter. Search matches the file name, description, file format, who uploaded it, and the job or contact it belongs to.
  2. Narrow the list with the filters next to the search box:
    • File Type: tick one or more, such as Photo, Document, Measurements, or Permit Documents. Any other types your account uses show up too.
    • Created By: tick one or more people.
    • Date (the button with the calendar icon): filter by Created Date or Updated Date.
  3. Click the Size or Created heading to sort.

Columns adds Content Type (the file format) or hides columns you don't need. Picking a file in global search opens this page with its name already searched.

Without a date filter, the list covers files from the last 90 days. The strip above the table shows Showing cached files (last 90 days, N indexed); click Refresh to pick up new uploads. To find an older file, set a date filter, and roofingBoss searches all of JobNimbus instead.

Upload files

Upload photos and documents to a job, contact, or work order. They're saved to JobNimbus on that record.

  1. Click Upload at the top of the Files page, or on the Files tab of a job, contact, or work order.
  2. On the Files page, choose Job or Contact under Link to, then search for the record. From a record's Files tab, the files go on that record.
  3. Drop files on the box, or click choose files. You can add several at once, and remove one with its ×.
  4. To label the upload, write a Description (optional), up to 2,000 characters. It's added to every file.
  5. Click Upload 1 file (or Upload N files).

What you can upload:

  • Photos: JPEG, PNG, WebP, GIF, and HEIC, up to 20 MB. A photo over 4 MB is made smaller in your browser before it's sent.
  • Documents: PDF, Word, Excel, CSV, and text files, up to 4 MB each.

Photos are saved with the type Photo and everything else as Document. While the upload runs, each file shows Preparing…, Uploading…, and then Uploaded, with a progress bar underneath. When every file is in, the dialog closes. A file that didn't upload shows the reason in red. Click Retry N files to try those again, or Close.

If a photo over 4 MB can't be made smaller, which happens with HEIC photos in most browsers other than Safari, save it as a JPEG and try again, or add it from the phone app.

Uploading from a work order also puts the files on the work order's job and contact, so they show there too. New files show on the record's Files tab and on the Files page right away. If one is missing, click Refresh a minute later.

Open a file

Click the Open file icon at the end of a row to open the file in a new tab. PDFs and photos open in the browser.

Click anywhere else on the row to open the file's detail sheet:

  • Header: the file name, its type, a Private badge when it's private in JobNimbus, and who uploaded it when. Share and Open sit on the right.
  • Preview: photos show here. Click one to open it full size.
  • Description, if the file has one.
  • Related: the job or contact the file belongs to. Click it to open it in JobNimbus.
  • Details: type, format, size, uploader, dates, and the file ID.

The arrows at the top step through the files on the current page (File 4 of 20).

A share link lets anyone view or download the file without signing in, such as a homeowner, adjuster, or supplier. You can share any file you can open.

  1. Open the file's detail sheet.
  2. Click Share.
  3. Choose how long the link works: No expiry, 1 day, 7 days, 30 days, or 90 days. It starts at 30 days.
  4. Click Create share link. roofingBoss copies the link to your clipboard.
  5. Paste the link into a text or email.

The link keeps working until it expires or you revoke it. Share links are saved in roofingBoss only; JobNimbus doesn't see them. The file's active links are listed under Active links for this file, with when each one expires and who made it. Click the Copy link icon to copy one again.

What the person you send it to sees

The link opens a read-only roofingBoss page with the file name, type, size, the job it belongs to, who shared it, and when.

  • PDFs: View PDF opens the document in the browser, and Download saves a copy. On a computer, the PDF also shows right on the page. On a phone, View PDF opens it full screen in the phone's browser.
  • Photos: the photo shows on the page, with View image and Download.
  • Other files, and files JobNimbus stored without a recognizable format: Download file.

An expired or revoked link shows Link not available instead.

Stop sharing a file

Revoking takes effect right away and can't be undone. Anyone who opens the link afterwards sees Link not available. Create a new link if you need to share the file again.

  1. Open the file's detail sheet.
  2. Click Share.
  3. Under Active links for this file, click the Revoke link icon next to the link.

To see and revoke every share link in one place, including work order links, go to Share links.
