Create a work order
File a work order with the short form, add a schedule, team, and pricing when you need them, or create one from a job.
Click Create New Work Order at the top of Sidebar → Operations → Work Orders. On a phone the button reads + New, and the form opens as a drawer from the bottom of the screen.
The form starts short so you can file a warranty visit or repair in a few seconds. The work order is saved to JobNimbus.
File a work order with the short form
- Under Belongs to, choose Existing job or Existing contact.
- Search for the job or contact and pick it. Job search uses a saved copy of your jobs, so it's fast. Click Refresh if a new job is missing.
- Check the Type. Warranty is picked for you when your account has that type.
- If the hint under Type asks for it, pick a product under Line item.
- Under What's going on, describe the problem, for example "Leak at the chimney."
- Optional: click Add photos to attach photos from your phone or computer.
- Click Create Work Order.
The short form doesn't set a schedule, status, sales rep, or team. Set them with Add schedule, team, and pricing before you create it, or later from the work order's details.
The note. What you type under What's going on becomes the work order's internal note and the description of its line item.
The line item. JobNimbus needs at least one line item, and every line item on a work order must be a product from your catalog. The form adds one for you at its catalog price (a labor product's labor price):
- The product with the same name as the type, for example a product called "Warranty" for a warranty.
- Otherwise, the All Purpose Work Order product from the job's or contact's location, for example for Side Quests. Your note becomes its description, so it carries the scope of work.
- If the catalog has neither, pick a product under Line item.
The hint under Type tells you which product the form will use. Admins: keep a $0 All Purpose Work Order product in each location's catalog so every type works without a pick.
Photos. Photos must be images of 20 MB or less each. They're saved to JobNimbus and attached to both the work order and its job or contact.
Add a schedule, team, and pricing
Click Add schedule, team, and pricing to open the rest of the form:
- Templates: start from a saved set of line items, or click Save as template. See Templates.
- Status, Sales Rep, and Location.
- Team: the people fields on your work orders, such as Project Manager(s) or Crew Leader(s). Pick JobNimbus users. Several people are saved as a comma-separated list.
- All day event, with start and end dates or times. See Set dates and times.
- Sections: optional groups for line items, such as Materials and Labor. Click Add Section, then pick a Section on each item.
- Line Items: the item from the short form is already there when it has a product. Click Add Item to add more. Pick a Product from the catalog for every item, then change the Name, Qty, Price, Cost, and UOM if you need to. A labor product fills in its labor price. A labor + material product shows Material price, Material cost, Labor price, and Labor cost, and its Amount adds both parts. JobNimbus doesn't accept a work order line item without a product.
- Customer Note.
Hide schedule, team, and pricing folds these fields away again. What you entered is still saved when you click Create Work Order.
Create a work order from a job
- Open the job and go to its WO tab.
- Click Create work order.
- Fill in the form. The job is already filled in under Related job and can't be changed.
- Click Create Work Order.
The new work order shows on the job's WO tab right away. See Jobs.
Create a work order from an estimate
Open the estimate and click Create work order. The form opens with the estimate's job and its line items and sections, and the estimate doesn't change. Pick a Type and click Create Work Order. See Edit or convert an estimate.
To book a warranty visit from the scheduling forms, use the Scheduler.
After you create it
The form stays open and shows Ask the customer for photos. If you want photos before the visit, click Copy link and paste the link into the text or email you send the customer. See Ask the customer for photos. Otherwise click Done.
