Scheduler

Scheduler

Take appointment requests, book them on a sales rep's Google Calendar, and create work orders on existing jobs.

The Scheduler is where a phone call or web request becomes a booked appointment. Open it from Sidebar → Scheduler. It has three screens:

  • New Request (Sidebar → Scheduler → New Request) holds the request forms.
  • Scheduling Queue (Sidebar → Scheduler → Scheduling Queue) lists open requests and shows the reps' calendars.
  • Website Requests (Sidebar → Scheduler → Website Requests) holds requests from the website that weren't sent to JobNimbus automatically. See Website requests.

Anyone who can sign in to the dashboard can use New Request and Scheduling Queue. Contacts, jobs, and work orders are saved to JobNimbus. Appointments are saved to the rep's Google Calendar.

How an appointment moves through the Scheduler

  1. Someone fills in a Job Scheduler form on New Request and clicks Request Appointment. roofingBoss creates a job in JobNimbus with the status Appointment Requested and no sales rep.
  2. The job shows up on the Requested tab of the scheduling queue.
  3. A scheduler picks a day, time, and rep, checks the rep's Google Calendar for conflicts, and clicks Schedule & Create Event.
  4. The appointment goes on the rep's Google Calendar. The job moves to Appointment Scheduled, gets the rep as its sales rep, and gets the day in Roof Inspection Scheduled Date.

A job someone sets to Appointment Requested in JobNimbus lands in the queue too, and so does a finished quote request from the website for a home in a county Blue Sky serves.

Connect Google Calendar

Booking reads and writes each rep's Google Calendar, so a rep can only be booked once their calendar is connected.

  • Reps: sign in to roofingBoss with your Blue Sky Google account and allow calendar access when Google asks. If an admin tells you calendar access isn't granted, sign out and sign back in with Google to grant it.
  • Admins: check who is ready in Settings → Access Control. The Google OAuth column should say Connected and Calendar Scope should say Granted. Not granted means the person signed in with Google but didn't allow calendar access.

Connecting shares your primary Google Calendar with everyone who uses the Scheduler. They can see your events, book appointments on it, and move events on it.

The Scheduler lists anyone who signed in with Google as connected, even if they didn't allow calendar access. Such a rep shows as Available, but booking them fails. Check Calendar Scope if a booking won't go through.
