Estimates

Edit or convert an estimate

Change an estimate's status, date, line items, and note, or turn it into an invoice or work order.

Open an estimate from Sidebar → Estimating → Estimates (or a job's Est tab). Three buttons sit under the estimate's header: Edit, Create invoice, and Create work order. Everything you save here goes to JobNimbus.

Edit an estimate

  1. Open the estimate and click Edit. The Edit Estimate #… panel opens on top and loads the estimate from JobNimbus, so you always edit its latest version.
  2. Change what you need:
    • Status: Draft, Sent, Denied, Approved, Invoiced, or Void.
    • Estimate Date.
    • Sections and Line Items *: change Qty, Price, Cost, or UOM, pick a different product, click Add Item, or click the trash icon to remove a line. Labor + material lines also have Labor price and Labor cost (see Labor and material on one line). The Gross Margin slider reprices lines the same way it does when you create an estimate.
    • Internal Note.
  3. Click Save Changes.

You see "Estimate #… updated", and the estimate panel and list show the new figures. The Related Job is shown for reference and can't be changed. Click Cancel to close without saving.

If you only change the status, date, or note, the line items and sections stay exactly as they are in JobNimbus. When you change lines or sections, every section is saved as you see it, including sections that have no items.

If the estimate can't be loaded

When JobNimbus can't be reached, the panel says "Couldn't load this estimate from JobNimbus, so it can't be edited right now." and has no Save Changes button, so an older copy can't overwrite newer changes. Click Try again, or Close and come back later.

Estimates sent for signing are locked

JobNimbus locks an estimate once it's sent for signing. When an estimate has been sent or signed, Edit is grayed out and a note under the buttons says why:

  • "This estimate was sent for signing, so JobNimbus has locked it. It can't be edited."
  • "This estimate has been signed, so JobNimbus has locked it. It can't be edited."

You can still create an invoice or work order from a locked estimate.

Create an invoice or work order

Converting copies the estimate onto a new record. The estimate itself doesn't change, its status included. To mark it Invoiced, edit its status.

Create invoice opens Create New Invoice with:

  • The estimate's job under Related Job *. It can't be changed.
  • The estimate's line items and sections, at the estimate's quantities and prices. Labor + material lines keep both parts, so the lines add up to the estimate's subtotal.
  • The estimate's Sales Rep and Location.

Set the dates and terms, review the lines, and click Create Invoice. See Create an invoice.

Create work order opens Create New Work Order with the estimate's job under Related job and its line items and sections (labor + material lines with both parts) already in the full form. Pick a Type, add the schedule and team if you need them, and click Create Work Order. Every work-order line must be a catalog product. See Create a work order.

If the estimate has no job, pick one in the form.
