Work order details

Open a work order, edit its fields in place, change line items, log activity, upload files, open the related job, or delete it.

Click a work order in the table, on the kanban board, or on the calendar to open its details. It slides in from the right, or up from the bottom on a phone. You can also open one from global search or from a link a teammate copied.

Use the arrows at the top (WO 3 of 20) to step through the work orders in your list without closing the panel.

What's on the panel

Top bar. Copy link, Share, and Request photos are covered in Share a work order. On a phone these show as icons only.

Header. The title, for example Work Order #2401, opens the work order in JobNimbus. Badges show the status, the type, and Archived or Inactive when they apply. If the related job is linked to a CompanyCam project, a CompanyCam link appears too. Below that you see who created it, the related job, the contact, the dates, and the job's address.

Left side.

  • Financial Summary: the work order's total price and cost, plus the related job's estimate total, invoice total, and amount due.
  • Work Order Details: type, status, sales rep, location, schedule, and the read-only facts (number, address, created, last updated, active, archived).
  • Related Records: the job, the contact, and the contact's email.
  • Notes: Internal Note and Customer Note.
  • Custom Fields.

Tabs on the right.

The address on a work order is the related job's address.

Edit a field

You change most fields right on the panel. Each save goes to JobNimbus and changes only that one field.

  1. Click the row you want to change. A pencil shows when you hover over a row you can edit.
  2. Change the value.
  3. Click the green check or press Enter to save. Click the red × or press Esc to cancel.

You can edit Record Type, Status, Sales Rep, Location, Schedule, Internal Note, Customer Note, and the custom fields. When you change the record type, pick a status from the new type in the same row. You can't save a new type without one.

The status list includes statuses that JobNimbus marks as archived, such as Closed or Disqualified. Moving a work order to one of them also archives it.

Once a work order has work blocks, its Schedule row reads Managed on the Schedule tab. Change the dates on the Schedule tab instead.

Empty custom fields are hidden. Click Show all empty custom fields under the Custom Fields heading to fill one in, and Hide all empty custom fields to put them away. Your choice is remembered in this browser and applies to jobs and contacts too.

Change line items

  1. Open the Items tab.
  2. Click Edit line items.
  3. In the Edit Work Order panel, change, add, or remove items. This form also has the type, status, sales rep, location, dates, custom fields, and notes.
  4. Click Save Changes.

A labor line shows its labor price and cost. A labor + material line shows Material price, Material cost, Labor price, and Labor cost, and its Amount adds both parts. A product you pick fills in its prices the same way.

Line items are saved to JobNimbus only when you change one. Changing just the type, status, sales rep, location, dates, custom fields, or notes leaves them exactly as they are.

In this form every line item needs a catalog Product. When you change any line item, a line without a product is removed when you click Save Changes. Pick a product for it first.

Add activity

  1. Open the Activity tab.
  2. Click Add Activity.
  3. Pick a Type: Note, Call, Email, Text, Meeting, Voicemail, or SMS.
  4. Write the Note.
  5. Click Add Activity.

The activity is saved to JobNimbus on the work order, under your name, and appears at the top of the list right away.

See and upload files

The Files tab lists the work order's photos and documents, newest first. When the strip above the list reads Files from the last 90 days, click Show older files to load the rest from JobNimbus. Click a file to open it, share it, or step through the work order's files.

Click Upload to add photos or documents. They're saved to JobNimbus on the work order and also on its job and contact, so the crew's photos show on the job too. See Upload files.

Click the job name in the header or under Related Records. The job opens on top of the work order. Close it to come back. Hold Ctrl (Cmd on a Mac) while you click to open the job on the Jobs page in a new tab instead.

Delete a work order

  1. Click Delete in the header.
  2. Click Delete again to confirm.

This deletes the work order in JobNimbus. To get it back, restore it in JobNimbus under Insights > Classic Reports.
