Work orders

Calendar view

See scheduled work orders by month, week, or day, and print or share a week as a list.

Click Calendar in the view switch on Sidebar → Operations → Work Orders. The calendar uses the same filters as the table, so you can narrow it to one type, one status, or one crew leader. See Filter work orders.

Click a block to open the work order's details. To move a work order, drag it. See Drag and resize on the calendar.

Switch views

Use Month, Week, Day, and List at the top right, and Today and the arrows at the top left. The view and the date you're on are part of the page link.

Read a block

Each block shows:

  • the work order number, status, and time;
  • the type, such as Warranty or Roof Replacement;
  • the related job's primary contact;
  • the job's address.

In Month view the type and contact share one line to keep the days compact.

Blocks are colored by job address. Visits to the same address share a color, and different addresses get different colors.

Work orders with set hours over several days show as one block per day at those hours. Thursday 7:30 AM to Friday 6:30 PM shows 7:30 AM to 6:30 PM on each day, in List view too.

All-day work orders show as one block per day that fills your business hours. The hours come from your location's business hours in JobNimbus, or 7 AM to 8 PM when none are set. Week and Day only show those hours. The line under the calendar tells you which hours it's using.

A work order split into work blocks only shows on the days of its blocks, not on the days in between.

Find a missing work order

  • Work orders with no start date aren't on the calendar. Add dates in the work order's details.
  • The calendar loads up to 200 work orders that match your filters. The line under the calendar reads "Showing X of Y matching work orders with scheduled work". When more match, add a filter, such as a status or a Start Date range, until they all fit.

Share a week's schedule

List view shows one week as rows, which is easy to send to a crew or print.

  1. Click List, then use the arrows to pick the week.
  2. Optional: click List columns and tick the columns you want. The groups are:
    • People: Project Consultant, Project Manager, QC Reviewer, Crew Leader, and Repair Tech, when your account has those fields.
    • Work order: Related job, Schedule Note, Internal Note, and Customer Note.
    • Custom fields: any other work order custom field.
  3. Click Copy link and paste it to your team, or click Print.

Type, contact, and address are always on every row. The link includes the week, your filters, and the columns. Print leaves out the sidebar, filters, and buttons.

Notes are too long for a column, so Schedule Note, Internal Note, and Customer Note sit under the row. On screen a long note shows three lines; hover over it to read the rest. Print shows the whole note. A row with no note skips that line. Internal notes are for your team, so check who gets a printout before you add them.

Schedule Note is the note on that row's work block, so a work order split into two visits on one day shows each visit's own note, such as "Softwash and cleaning" on the first row and "Inspection after softwash" on the second. Internal Note and Customer Note belong to the work order, so they repeat on every block. To add or change one, click the pencil on the block in the work order's Schedule tab and fill in Note (optional). A work order still on its JobNimbus dates (marked (from JobNimbus dates)) has no schedule note. Schedule notes are saved in roofingBoss only, not in JobNimbus.

A saved list keeps the List view and its columns, and opens on the current week.
