JobNimbus setup

Add custom fields, workflows, statuses, lead sources, and task, file, and activity types, and look up units of measurement.

These screens change your JobNimbus account settings from roofingBoss. Everything you add here is saved to JobNimbus and applies to everyone, in roofingBoss and in the JobNimbus app. Anyone signed in to the dashboard can make these changes, not just admins.

You can add and edit here, but not delete. To remove a custom field, workflow, lead source, or type, do it in JobNimbus.

Add a custom field

Open Sidebar → Settings → Custom Fields. Tabs switch between Contact, Job, and Work Order fields, with a count on each. The table shows each field's Title, Field ID, Type, and whether it's Visible, Currency, Dropdown, Required, or Searchable, plus its Options. Use Filter by title... and the Visibility: button to narrow the list.

  1. Pick the tab for the record type.
  2. Click Add Job Field. The button is named for the tab you're on.
  3. Enter the Field title.
  4. Pick the Field type: Text, Number, Decimal, Date, or True / False.
  5. Visible starts on. Turn on Required and Searchable as needed. Currency works only for Decimal fields.
  6. For a pick list, choose Text, turn on Dropdown field, and type the choices into Options (comma or new line separated).
  7. Click Create Field.

Existing fields can't be edited here. Job and work order custom fields show up when you edit a job or work order. See Jobs and Work orders.

Manage workflows and statuses

Open Sidebar → Settings → Workflows. A workflow is a pipeline of statuses for jobs, contacts, or work orders. Switch between two views at the top:

  • Table lists every workflow with its Object Type, Order, Active state, and Status Count. Filter by name, status, or type. Click the arrow on a row to see its statuses.
  • Board shows one workflow's statuses as columns. Pick the type, such as Job workflows, then the workflow. Click Expand to fill the screen.

To create a workflow:

  1. Click Create Workflow.
  2. Enter a Name and pick the Object Type: Job, Contact, or Work Order.
  3. Leave Active on. Inactive workflows are hidden from pickers.
  4. Enter the Initial Status Name and pick its Initial Status Stage.
  5. Click Create Workflow.

To edit a workflow, click the pencil on its row, Edit under its statuses, or Edit workflow on the board. In Edit Workflow:

  • Change the Name, Order, or Active switch, then click Save Workflow.
  • Click Add Status, fill in Name, Stage, and Order, then click Create Status.
  • Change an existing status, including its Active, Archived, and Send to QuickBooks switches, then click Save Status under it. Each status saves on its own.

The Stage is the JobNimbus sales stage a status belongs to: None, Lead, Estimating, Sold, In Production, Accounts Receivable, Completed, or Lost.

Reorder statuses

Drag a status by its grip handle in the table's expanded row, or drag a column on the board. The new order saves to JobNimbus as soon as you drop it, numbered 1 through the last status.

If you sync to Follow Up Boss, update its pipelines after you add, rename, or reorder job statuses. See Map JobNimbus statuses to stages.

Add a lead source

Open Sidebar → Settings → Lead Sources. The table shows each source's Source Name, ID, and Status, with filters for name and status.

  1. Click Add Lead Source.
  2. Enter the Source Name.
  3. Leave Active on so people can pick the source on jobs.
  4. Click Create Lead Source.

You can't add a name that already exists. If JobNimbus already has two active sources with the same name, a Duplicate lead source names notice lists them and the rows show Duplicate name. Dropdowns in roofingBoss show each name once. Rename or deactivate the extras in JobNimbus to clean it up.

Add task, file, and activity types

Open Sidebar → Settings, then click Types. Tabs switch between Task Types, File Types, and Activity Types, with a count on each.

  • Task types are what people pick when they create a task. The table shows each type's Name, Default Name (the title a new task starts with), whether it's on the Task List and Calendar, its Status, and its ID.
  • File types are the categories attachments are sorted into.
  • Activity types label notes and other activity. Job Share shows whether customers see that activity on JobNimbus Job Share.

Type in Filter by name... to find a type.

  1. Open the tab for the kind of type.
  2. Click Add Task Type, Add File Type, or Add Activity Type.
  3. Enter the Name.
  4. For a task type, you can also fill in Default Task Name, the title a new task of this type starts with. Leave it blank to use the name. Turn on Hide from task list or Hide from calendar if the type shouldn't show there.
  5. Leave Active on so people can pick the type.
  6. Click Create Task Type (or Create File Type, Create Activity Type).

The list reloads from JobNimbus with the new type. You can't add a name that already exists on that tab. If JobNimbus already has two active types with the same name, a notice such as Duplicate task type names lists them and the rows show Duplicate name. Rename or deactivate the extras in JobNimbus. Existing types can't be edited here.

Look up units of measurement

Open Sidebar → Settings → Units of Measurement. It lists the units used on products and estimates, such as squares. Type in Filter by unit... to find one. The list is read-only, so add or change units in JobNimbus. See Products.
