Share links
Send a read-only work order or file to anyone with a link, and find, copy, or revoke every link in one list.
A share link is a public web address that shows one work order summary or one file to anyone who has it, with no sign-in. You create links from a work order or a file. Sidebar → Settings → Share Links lists every link the team has made.
Share links are saved in roofingBoss only. JobNimbus never sees them. Anyone signed in to the dashboard can create links, and can see and revoke every link, not just their own.
Create a link
From a work order:
- Open the work order. See Work orders.
- Click Share at the top of the work order.
- Pick how long the link works: No expiry, 7 days, 30 days, or 90 days.
- Click Create share link.
The link is copied to your clipboard, ready to paste into a text or email. Active links for this work order lists every link that still works, with buttons to copy or revoke each one.
From a file, open it on Files, click Share, and follow the same steps. Files also offer a 1 day expiry.
What the recipient sees
A work order opens as a read-only summary of the work order as it is now, so later edits show up on the same link:
- The work order number, status, record type, and an Archived badge if it's archived
- Details: record type, status, who created it, start and end dates, and created date
- Related: the job, the contact, and the address
- Line Items with quantity, unit, price, and amount, plus the Total
- Notes: the Customer Note and the Internal Note
A file opens on a page with the file name, who shared it, and when. Then:
- PDFs show a preview on a computer, with View PDF and Download buttons.
- Photos show the image, with View image and Download buttons.
- Other files have a Download file button.
A file link keeps working even after JobNimbus's own download link for that file expires.
What a link exposes and hides
Internal notes are included on work order links. Read the work order's Internal Note before you send a link outside the team.
A work order link never shows costs or margins, the creator's email, or any estimates, invoices, tasks, or activity on the work order. The prices on line items and the total are shown. The customer's name and the job address are shown. A file link shows only that one file.
Find a link
The All Share Links list shows how many links exist and how many are active. Its columns are Record, Type (Work Order or File), Status, Created By, Created, and Expires (Never when there's no expiry).
- Type in Search by record, creator, or link… to match the record (a work order number, file name, or the related job's name) or the person who made the link. You can also paste the end of a link to find it.
- Use the status menu to show All statuses, Active, Expired, or Revoked links.
In the Actions column, the copy button copies the link and the open button opens the public page in a new tab.
Revoke a link
Revoking a link stops it working right away. Anyone who opens it sees Link not available.
- Find the link in the list. Only Active links can be revoked.
- Click the revoke button in the Actions column.
- Click Revoke to confirm.
Revoking can't be undone. To share the record again, create a new link. Revoked links stay in the list with Revoked and the name of the person who revoked them, so you always know who shut a link off.
You can also revoke from the Share popover on the work order or file. There, the revoke button works right away, with no confirmation.
When links expire
A link with an expiry stops working that many days after it was created, to the hour, and shows as Expired in the list. Recipients see the same Link not available page as for a revoked link. To give more time, create a new link.
