New requests

Log an appointment request for a repair or roof replacement quote, or create a warranty or other work order on an existing job.

The New Request screen has two sets of forms. Job Scheduler forms log an appointment request as a new job. Work Order Scheduler forms add a work order to a job that already exists. Go to Sidebar → Scheduler → New Request. Everything you create here is saved to JobNimbus.

Request an appointment

Use a Job Scheduler form when a customer, agent, or manager asks for a visit. The request becomes a job with the status Appointment Requested, ready to book from the scheduling queue.

  1. Under Job Scheduler, click the kind of visit: Repair, Virtual Roof Replacement Quote, or In Person Roof Replacement Quote.
  2. Pick the Requester Role: Customer, Real Estate Agent, Property Manager, CAM, or Manufacturer.
  3. Under Requester, link an existing contact or add a new one.
  4. Add an HOA or property owner if the request involves one.
  5. Fill in the address and job details.
  6. Click Request Appointment.

You don't pick a sales rep here. The rep is assigned when someone schedules the appointment.

Most callers are already in JobNimbus, so the form opens on Existing contact.

  1. Click the search box and type a name, email, phone number, or company.
  2. To narrow the results, pick a contact type in the All types menu.
  3. Click the contact. A card shows their details. Click the X on the card to pick someone else.

Linking an existing requester also fills in the job address from the contact if you haven't typed one.

If nobody matches, click Create "…" instead to switch to New contact with the name filled in. Search covers the same people as the Contacts list. If a contact added a moment ago doesn't show up, click Refresh above the search box.

Add a new contact

On the New contact tab, enter First Name, Last Name, and Phone. Email is optional. The contact is saved to JobNimbus with the type that matches the Requester Role.

JobNimbus doesn't allow two contacts with the same name. If the name is taken, the form switches to Existing contact and searches for it. Pick the existing person and click Request Appointment again. Contacts the form already created on the first try aren't created twice.

Add an HOA or property owner

  • Check This is for an HOA / Community to add the association. Link it on Existing, or type the HOA / Community Name on New.
  • Check On behalf of another person (property owner, family member, etc.) when the requester isn't the owner. Link the owner on Existing contact, or enter Owner First Name and Owner Last Name on New contact. Owner Phone and Owner Email are optional.

When either box is checked, choose the Primary Contact on Job: Requester, HOA / Community, or Property Owner. Every contact is linked to the job. The primary contact is listed first and gives the job its name.

Fill in the address and job details

  • Street Address: start typing and pick the match to fill in City, State, and ZIP.
  • Job Type: Residential or Commercial.
  • Lead Source: optional.
  • Preferred Appointment Date / Time: plain text, such as "Monday March 15 at 2:00 PM". The scheduler sees it on the queue card.
  • Notes: anything the scheduler or rep should know.

When you click Request Appointment, roofingBoss saves to JobNimbus:

  • Any new contacts, with the status New.
  • A job named after the primary contact and the street, such as "Jane Smith - 123 Main St", with the status Appointment Requested and no sales rep.
  • A job description listing the appointment type, who requested it (for roles other than Customer), the preferred time, and your notes. The scheduler sees this when booking.

Create a work order request

Use a Work Order Scheduler form for work on an existing job, such as a warranty visit. There's one card for each active work order type in JobNimbus, with Warranty first. If you see "No work order types are configured for this account.", the account has no active work order workflows. See Settings.

  1. Click the card for the work order type, such as Warranty.
  2. Under Related Job, click Search for a job... and type at least two characters of the job's name or number. Pick the job.
  3. Record Type is set to the card you clicked. Optionally pick a Status and a Sales Rep.
  4. Set the schedule, or leave the dates blank to schedule it later.
  5. Under Line Items, pick a Product. Change Qty, Price, Cost, or UOM if needed. A labor product fills in its labor price. A labor + material product shows Material price, Material cost, Labor price, and Labor cost, and its Amount adds both parts. Click Add Item for more products.
  6. Optionally add an Internal Note, which only your team sees, or a Customer Note, which the customer can see.
  7. Click Create Work Order.

Create Work Order stays off until you pick a job and at least one product, because JobNimbus won't create a work order without a line item. The work order shows up in Work Orders.

To set the schedule:

  • All day event is checked to start. Pick a Start Date and End Date. Leave one blank to schedule a single day.
  • Uncheck All day event to set a Start and End with times.

To split the work into several visits later, see Work order scheduling.
