Scheduling queue
Review appointment requests, check rep availability, and book appointments on a rep's Google Calendar.
The scheduling queue is where requests get booked. Go to Sidebar → Scheduler → Scheduling Queue, or click Scheduling Queue on the New Request screen. The screen has two tabs: Queue and Rep Calendars. Click New Request to log another request.
Read the queue
The Appointment Queue lists every active job in JobNimbus with the status Appointment Requested or Appointment Scheduled, newest first. That includes jobs set to those statuses in JobNimbus, not only ones made with a Scheduler form. Archived jobs are left out.
- Requested holds jobs waiting to be booked. Scheduled holds jobs that already have an appointment.
- The badges at the top count all requested and scheduled jobs, so they match the Jobs list filtered to the same status. The tab labels count only the jobs that match your search.
- While older jobs are still loading, the scheduled badge shows a + and a spinner.
- Type in Search appointments... to filter by job name, sales rep, address, city, job type, or anything in the description.
Each card shows the job name, job type, appointment type, address, sales rep once one is assigned, the preferred time, and when the request was created.
Open a job
Click a card to open the job's details, the same panel the Jobs list uses. Review or edit the job there. The arrows at the top step through the other jobs on the same tab. Changes are saved to JobNimbus and the queue refreshes. If you delete the job there, it leaves the queue.
Schedule an appointment
- On the Requested tab, click Schedule on the card.
- Click Pick a date and choose the day. Past days are greyed out.
- Choose a Start Time (6:00 AM to 8:30 PM) and a Duration (30 minutes to 4 hours).
- Check the Event Title and Event Description. They're filled in from the job: appointment type, customer, job number, address, phone, email, preferred time, lead source, and notes. Edit them if you need to.
- Under Select Rep, click the rep. Click Filter to narrow the list by JobNimbus role or group.
- Click Schedule & Create Event.
Once you pick a day, each rep shows Available or Conflict for the time you chose, with their busy blocks that day. Select a rep to see the titles and locations of those events. Reps under Calendar Not Connected are greyed out and can't be booked. See Connect Google Calendar.
What happens when you schedule
- The appointment is added to the rep's Google Calendar, with the job address as the location.
- The job is saved to JobNimbus with the status Appointment Scheduled, the rep as its sales rep (when the rep is a JobNimbus user), and the chosen day in Roof Inspection Scheduled Date.
- The job moves to the Scheduled tab.
If the account has no Roof Inspection Scheduled Date field, the status still changes and a message asks you to set the date on the job. If the calendar event is created but the job can't be updated, a message tells you to set the status and date on the job yourself.
Compare rep calendars
The Rep Calendars tab lays the Google Calendars of the reps you pick over each other, so you can see who's free before you book.
- Under Sales Reps, check the reps you want to see. Use Search reps..., Filter, Select all, and Clear to manage the list.
- Switch between Day, Week, Month, and List. Use the arrows and Today to move through dates.
- Each rep gets a color. An event on several selected reps' calendars shows once, in grey, with the number of reps.
- Times are Eastern time.
- Only people with Google Calendar connected are listed.
Click an event to see its time, location with Open in Maps, video call link, reps, attendees, and notes. Click Open in Google Calendar to open it in Google.
Move an event
Drag an event to a new time, or drag its bottom edge to change its length. The change is saved to Google Calendar right away, on each selected rep's copy of the event. If Google rejects the change, the event snaps back.
Moving an event only changes Google Calendar. The job's Roof Inspection Scheduled Date in JobNimbus stays the same, so update it on the job as well.
