Add and edit contacts

Create a contact, link an existing one instead of making a duplicate, and edit fields and tags right on the contact sheet.

Contacts you create or edit in roofingBoss save to JobNimbus, so they show up in JobNimbus and its mobile app right away.

Create a contact

  1. On the Contacts page, click Create New Contact. You can also go to Sidebar → Contacts → Add Contact.
  2. Fill in First Name and Last Name. Both are required.
  3. Leave Display Name blank to use "First Last", or type the name you want shown everywhere.
  4. Add any of Company, Email, Mobile Phone, Home Phone, Work Phone, Fax, and the address fields.
  5. Choose a Contact Type, then a Status. The status list only shows statuses for the type you picked.
  6. Choose a Lead Source and Sales Rep, and add anything else under Description / Notes.
  7. Click Create Contact.

Search the contacts list before you create someone. JobNimbus can refuse a new contact whose display name matches an existing one.

You usually add contacts while creating something else: a job (Jobs), a work order (Work orders), or a scheduler request (Scheduler). Each of those dialogs has an Existing contact option. Use it whenever the person might already be in JobNimbus.

  1. Click Existing contact.
  2. Click the search box and type part of a name, email, or phone number. Results come from the same contact list as the Contacts page, so they match what you'd find there.
  3. Click the contact. A card shows their company, email, phone, and address. Click × on the card to choose someone else.

When you create a job or a scheduler request, two extras help:

  • The All types menu next to the search box narrows results to one contact type.
  • If no one matches, the picker offers Create "name" instead. Click it to switch to New contact with the name already filled in.

In a scheduler request, if JobNimbus says a contact with that name already exists, roofingBoss switches that contact back to Existing contact and fills the search with the name. Pick the existing record and submit again.

To link another contact to a job that already exists, or change its primary contact, use Contacts on the job sheet. See Manage the job's contacts.

Edit a contact

You edit a contact one field at a time on its detail sheet. Each save writes only that field to JobNimbus.

  1. On the Contacts page, click the contact's row.
  2. On the left side of the sheet, click the field you want to change. A pencil appears when you hover over it.
  3. Change the value.
  4. Click the green check, or press Enter, to save. Click the red ×, or press Esc, to cancel.

Only one field is open at a time. A short message confirms each save, and an error shows under the field if JobNimbus rejects it.

What to know about specific fields:

  • First Name and Last Name can't be blank. If the display name was "First Last", it updates with them. A custom Display Name stays as it is.
  • Record Type changes the contact type and status together. When you pick a new type, choose one of its statuses before you save. To change only the status, use Status. Statuses that JobNimbus marks as archived are listed too, and moving a contact to one also archives it.
  • Address: start typing in the first line and pick a suggestion to fill in the city, state, and ZIP.
  • Description: Enter adds a new line, so click the green check to save.
  • Tags: see Tag a contact.
  • Created By, Created, Last Updated, and Active are read-only.

Tag a contact

Tags are labels such as "VIP" or a referral program. They're saved to JobNimbus.

  1. Click the Tags row under Details.
  2. Type a tag in Add a tag... and press Enter, or click one of the tags under the box. Those are tags already used on other contacts.
  3. To take a tag off, click the × on it.
  4. Click the green check to save.

Tags ignore capitals, so "vip" and "VIP" are the same tag, and a tag you type in different capitals uses the spelling your team already has. Tags someone else added to the contact after you opened it are kept when you save.

Show empty custom fields

Custom Fields lists only the custom fields that have a value. Click Show all empty custom fields to see and fill in the rest, and Hide all empty custom fields to tuck them away again. roofingBoss remembers your choice in this browser for contacts, jobs, and work orders.
