Import contacts from CSV
Add many contacts at once from a spreadsheet. Match columns to fields, check for duplicates, and create them in JobNimbus.
Use a CSV file to add a batch of contacts, such as a list from a home show or an old CRM. Every contact the import creates is saved to JobNimbus. Open Sidebar → Contacts and click Import CSV.
Prepare the file
- The first row holds the column names. Each row after it is one contact.
- A file can hold up to 2,000 contacts. Split bigger lists into several files.
- Each row needs a first name, last name, display name, or company. When Display Name is blank, the contact is named "First Last", or the company if there's no name.
- Click Download a template in the import dialog for a file with every standard column.
Values that have to match your JobNimbus setup:
| Field | What to put in it |
|---|---|
| Contact Type | The name of a contact type, such as Customer. Rows without one get the type you pick under Contact type for rows without one. |
| Status | Optional. It has to be one of that contact type's statuses. |
| Lead Source | The name of an active lead source. |
| Sales Rep | The full name or email of an active user. |
| A full email address. | |
| Custom fields | Dropdown fields take one of their options. Yes/no fields take Yes or No. Number fields take a number. Date fields take a date like 10/17/2026 or 2026-10-17. |
Capital letters don't matter when matching names.
Import the file
- On the Contacts page, click Import CSV.
- Click Choose CSV file and pick the file, or drag it onto the box.
- Under Contact field, check what each Column in your file goes into. Columns are matched by their names, such as Mobile to Mobile Phone. Pick Don't import for columns you don't want. Your contact custom fields are listed under Custom fields.
- Pick a Contact type for rows without one.
- Click Review rows.
- Check the counts at the top: how many rows are ready, with errors, and likely duplicates. First 10 rows shows the start of the file. Rows with problems shows the rows with an error or a duplicate warning, and the reason for each.
- Leave Skip likely duplicates ticked to leave those rows out.
- Click Import. The button shows how many contacts will be created, such as Import 120 contacts.
Rows with errors are never sent. Fix them in the file and import just those rows again.
Watch the import and get the results
Contacts are created one at a time, so a big file takes a few minutes. Keep the dialog open until it says Done. Stop import stops after the contacts already in progress. Contacts created before you stop stay in JobNimbus.
Each row is listed with its result:
- Created: the contact is in JobNimbus.
- Skipped: a likely duplicate, or a row the import didn't reach after Stop import.
- Failed: the row had an error, or JobNimbus refused it. The reason is shown under the row.
Click Download error CSV to save every skipped and failed row with its original columns plus Result and Message. Fix the rows, then use Import another file to try them again. Click Done to close. The contacts list picks up the new contacts on its own.
How duplicates are found
A row is a likely duplicate when its name, email, or phone number matches an existing contact, or an earlier row in the same file. Phone numbers match on their digits, so (727) 555-0100 and 727.555.0100 are the same.
The check uses the same contact list as the Contacts page. If someone just added contacts in JobNimbus, click Refresh on the Contacts page before you import.
If your contacts can't be loaded, the review step says "Couldn't load your contacts to check for duplicates." and Import stays grayed out, because no row can be flagged as a duplicate. Click Try again. To import anyway, tick Import without checking for duplicates; contacts you already have may then be created again.
JobNimbus refuses a new contact whose display name matches an existing one, so name matches usually fail if you untick Skip likely duplicates. An import can't be undone in bulk. Try a small file first. To remove contacts you imported by mistake, select them on the Contacts page and click Delete (see Bulk update and delete).
