Blue Sky Cares
Add community events, cancel or postpone them, post a recap with photos, and edit partners and the community page.
Blue Sky Cares is the community section of the website at www.roofingboss.ai/community. You manage it in the Studio under Blue Sky Cares. Anyone invited to the Studio can edit it.
What visitors see
- The community page: your heading and impact numbers, the Upcoming events calendar grouped by month (with Happening now first), the partners under Who we support (grouped into Nonprofits, Local schools, and Youth sports teams), Recent highlights from past events, and buttons to volunteer or ask about sponsorship.
- Event pages: a breadcrumb trail at the top (Home, Blue Sky Cares, then the event's title), the date and time in Eastern time, the place with a directions link, a sign-up button, Add to calendar links, the details, partner cards, and, after the event, the recap and photos.
- The homepage: the next three events, after the customer dock. Featured events go first, and cancelled events are left out.
- Subscribe on the calendar adds every event to a visitor's Apple, Outlook, or Google calendar. Their calendar picks up new events, changes, and cancellations.
Events, partners, and the community page save live. Each edit is on the website as you make it, with no Publish step. A new event starts hidden, with Show on the website off. Turn it on when the event is ready.
Add an event
- Under Blue Sky Cares, select Upcoming events.
- Click the create button (pencil icon) at the top of the list.
- Fill in the Details tab, then the Sign-up tab. The event stays hidden while you write, because Show on the website starts off. You can still preview it in Presentation.
- On the Details tab, turn on Show on the website when the event is ready.
A shown event appears on the calendar once it has both a Slug and a Starts time. Until then, the Studio's events lists show "Not on the calendar yet" under its name. While Show on the website is off, they show "Hidden from the site" instead.
| Field | What it does |
|---|---|
| Title | The event name, such as "Holiday toy drive". Required. |
| Slug | The event's web address. Click Generate to make it from the title. |
| Type of event | Volunteer day, Toy or donation drive, Fundraiser, Sponsored event (games, school events), or Community event. Sets the label and icon on the calendar. |
| Status | Scheduled, Postponed, or Cancelled. See Cancel or postpone an event. |
| Starts | The date and start time. Required. |
| Ends | Optional. Leave it blank for a single time slot; calendar invites then assume two hours. |
| All-day event | Shows dates only, no times. Use it for drives that run for several days, and put drop-off hours in Details. |
| Location | Place (such as "Largo office") and Address. The address becomes a directions link. |
| Summary | One or two sentences for the calendar card and link previews. Required. Keep it under 200 characters. |
| Image | An optional photo for the calendar card and the top of the event page. |
| Partners | The partners this event supports. Each one shows as a card on the event page. |
| Details | What to expect, what to bring, parking, and who to ask for. |
| Show on the website | Off hides the event everywhere on the site. New events start with it off. See Hide an event. |
| Feature this event | Puts the event first on the homepage and in the highlights. |
Starts and Ends always use Eastern time, wherever you are, and the site shows the same times. On the site, an event counts as over when it ends: two hours after it starts if Ends is blank, or after its last day if it's all-day. In the Studio, it moves from Upcoming events to Past events a day after it ends.
Set up sign-ups
| Field | What it does |
|---|---|
| Looking for volunteers | On by default. Adds a Volunteers needed badge and a volunteer button. |
| Sign-up link | Where people sign up or RSVP, such as SignUpGenius, a Google Form, Eventbrite, or the partner's own page. |
| Button text | Optional. Replaces the button's label, for example "RSVP", "Donate", or "Get tickets". |
The event's button follows these rules:
- With a Sign-up link, the button opens it. It reads Sign up to volunteer, or Learn more when Looking for volunteers is off.
- With no link, an event that's looking for volunteers gets Email us to volunteer, a pre-filled email to the community page's Contact email.
- With no contact email either, the button is Call to volunteer.
- Cancelled events and events that are over have no button.
The website doesn't collect volunteer sign-ups, and everything in the Studio is public. Never put volunteers' names, phone numbers, or emails in an event.
Cancel or postpone an event
Rained out or rescheduled? Change Status instead of deleting the event, so visitors see what happened.
- Cancelled: the event stays on the calendar with a Cancelled badge, and its page says it has been cancelled. The sign-up button and calendar links go away, it drops off the homepage, and subscribers' calendars mark it cancelled.
- Postponed: the event stays on the calendar with a Postponed badge, and its page says the new date will be posted. When you know the new date, change Starts (and Ends) and set Status back to Scheduled.
In the Studio's events lists, the status shows under the event's name, before its date, such as "Cancelled".
Once their date passes, cancelled and postponed events are left out of Recent highlights.
Hide an event
To take an event off the site without deleting it, turn off Show on the website. A hidden event is left off the calendar, the homepage, Recent highlights, and the Subscribe feed, and visitors who go to its address see "We couldn't find that page". The Studio's events lists and Presentation both say "Hidden from the site". To tell visitors a date changed or an event won't go ahead, cancel or postpone it instead.
Events added before this switch existed have it neither on nor off, and stay on the site until you turn it off.
Preview a hidden event
A hidden event still opens in the Studio's Presentation tool, in the real page layout, so you can finish it before anyone else sees it.
- Give it a Title, a Slug, and a Starts time.
- Click Presentation at the top of the Studio and go to the event's page, or pick the page in the bar at the top of the event's form.
- Check the notice at the top of the page. Its Hidden from the site pill means only you can see the page. Your edits show in the frame as you make them.
Search engines are asked not to list the preview. Turn on Show on the website to publish the event.
Post a recap after the event
When the event is over, its page shows a How it went section built from the Recap & photos tab.
| Field | What it does |
|---|---|
| Recap | A short write-up of how the day went. |
| Impact numbers | Up to four big numbers, each with a Number (such as "1,200") and a Label (such as "toys collected"). The first one also shows on the highlights card. |
| Photos | Photos from the day. Drag several in at once, and give each one Alt text and an optional Caption. Pick your best 40 or fewer. After eight photos, the rest hide behind Show all N items. In Presentation, click a photo on the event page to open it here. |
Recent highlights on the community page shows the six latest past events, featured ones first. Older ones are listed under More past events. Each highlights card uses the event's Image, or its first photo when there's no image, and links to the event with See 12 photos (or however many it has).
Add a partner
Select Partners & sponsorships, then click the create button.
| Field | What it does |
|---|---|
| Organization name | Required. |
| Type of organization | School, Youth sports team or league, Animal welfare, Nonprofit or charity, or Community group. Required. Sets which group the partner shows in. |
| Logo | A square or wide logo on a plain background works best. |
| How we support them | A sentence or two, under 220 characters. |
| Supporting them since | The year Blue Sky started, shown as "Since 2021". |
| Website | Their site or donation page, linked from the card. |
| Feature this partner | Shows the partner first in its group. |
Every partner appears under Who we support, in one of three groups:
- Nonprofits: Nonprofit or charity, Animal welfare, and Community group partners. Cards show Animal welfare or Community group under the name.
- Local schools: School partners.
- Youth sports teams: Youth sports team or league partners.
Within each group, featured partners come first, then A to Z. A group with no partners is left off the page.
Edit the community page
Select Community page.
| Field | What it does |
|---|---|
| Title and Introduction | The heading and paragraph at the top of the page. |
| Image | An optional team photo next to the heading. |
| Impact numbers | Up to four totals under the heading, such as "40+ local organizations". |
| Contact email | Where volunteer and sponsorship emails go. Email us to volunteer, Volunteer with us, and Ask about sponsorship all use it. |
| Volunteer list sign-up link | An optional form for joining the general volunteer list. Volunteer with us opens it, or emails the contact address when it's blank. |
Without a Contact email, the volunteer and sponsorship buttons ask visitors to call instead.
