Create, bulk update, and delete jobs

Add a job for a new or existing contact, change many jobs at once, and delete jobs from the Jobs table.

Create jobs from the Create New Job button at the top of the Jobs page, or from Add New Job under Jobs in the sidebar. Bulk update and delete work from the table's checkboxes. Everything on this page is saved to JobNimbus.

Create a job

  1. On the Jobs page, click Create New Job.
  2. Under 1. Customer / Contact, choose who the job is for:
    • Existing contact: click the search box and type a name, email, phone, or company. Use All types to narrow by contact type. Click the contact.
    • New contact: enter First name and Last name, plus any of Email, Mobile phone, Company, and the address.
  3. Under 2. Job details, fill in:
    • Job name: defaults to the contact's name. Type over it to change it.
    • Job type and Status. They start on the first job type and its first status, so check both. Status lists only that job type's statuses.
    • Optionally Sales rep, Source, and Description.
  4. Check 3. Job address:
    • For an existing contact, leave Use contact's address checked to copy the contact's address, or uncheck it and enter Street address, City, State, and ZIP.
    • For a new contact, the job uses the address you entered for the contact.
  5. Click Create Job.

A message confirms the new job number. If you chose New contact, the contact is created in JobNimbus first, then the job is linked to it.

When a contact doesn't show up

The contact search looks through a saved copy of your contacts so results come back instantly. The line above the search box says how many contacts it holds and when it was last refreshed.

  • If someone was just added in JobNimbus and isn't found, click Refresh on that line.
  • If nobody matches, click Create "…" instead. The dialog switches to New contact with the name filled in.

Select jobs

Check the box at the start of each row, or the box in the header to select every job on the page. A bar appears at the bottom of the screen with the count, Clear, Bulk Update, and Delete.

To go past one page, select the whole page, then click Select all … matching jobs above the table. See bulk edits for how selection works on every list.

Update many jobs at once

  1. Select the jobs.

  2. Click Bulk Update.

  3. In Bulk Update Jobs, check each section you want to change and fill it in:

    SectionWhat it sets
Update Lead SourceOne lead source. Sources that share a name show their ID.
Update Job Type / Workflow + StatusA workflow and one of its statuses. A status is required.
    Update Sales RepOne sales rep.
Update Assigned TeamTeam members, added to or replacing each job's Assigned To list. See below.
Update Custom FieldsOne or more custom fields. Pick a field, set its value, and click Add another field for more.
  4. Click Update with the job count, for example Update 12 Jobs.

Every selected job gets the same values. Sections you leave unchecked aren't touched. Large selections are updated in batches of 25, and the button shows progress, such as Updating 50 of 312. Stay on the page until it finishes.

When it's done, a message says how many jobs were updated, and the selection clears. If some jobs fail, the message says how many and why.

Add or replace the assigned team

Update Assigned Team has two choices:

  • Add additional team members (the default): the people you pick are added to each job. Everyone already assigned stays.
  • Replace all assigned team members: each job's team becomes exactly the people you pick.

Merge two lead sources

When two lead sources share a name, such as Referred (ID 1) and Referred (ID 20), you can move every job onto one of them:

  1. Add a Lead Source filter for the one you're retiring. See Filter by lead source.
  2. Select all matching jobs.
  3. Click Bulk Update, check Update Lead Source, and pick the one you're keeping.
  4. Click Update and wait for it to finish.

Do the same on Contacts before you remove the unused source in JobNimbus.

Delete jobs

Deleted jobs disappear from roofingBoss and from JobNimbus lists. You can't undo a delete here. To get a job back, restore it in JobNimbus.

  1. Select the jobs.
  2. Click Delete in the bar at the bottom.
  3. Check the count in the confirmation, then click Delete.

The deleted jobs leave the table right away. If some can't be deleted, they stay selected so you can try again.

To delete the job you have open, use Delete on the sheet instead. See Job details.
